Kenya PvoC certification process
Step 1: the exporter shall submit the Import Declaration Form(IDF), and Request for Certificate Form(RFC) by sending and completing the application Form.
Step 2: the above application form should give details of the goods and provide product quality documents such as test report, technical parameters, quality management system certificate (if any), etc
Step 3: PVOC's nearest office determines feasible implementation options and applicable standards under the plan
Step 4: if testing is required, our company shall coordinate sampling and conduct laboratory testing, which shall be conducted by PvoC approved laboratories
Step 5: on-site inspection will be carried out by the nearest inspection company after the completion of the above steps, and all the expenses shall be borne by the exporter.
Step 6: after the inspection, the exporter shall send the final documents (commercial and packing list) to PVoC office
Step 7: Kenya PVoC office issues customs clearance certificate CoC (registration certificate and formal recognition certificate)
There are three ways to get PVoC certification
Method a) :(COC) inspection of each batch
1. Application: the exporter shall contact the PVoC office in the country where he/she is located, submit the completed certification application form (RFC) and the formation and distribution of this batch of goods, or the Kenyan importer shall submit the import declaration form (IDF) and the formation and distribution of a copy to start the PVoC process.
2. Test/inspection: PVoC office shall inspect the goods to confirm whether they meet the requirements of Kenyan standards/technical specifications, and take samples for testing. If the test results are qualified, the CoC certificate will be issued according to the goods provided by the importer (for air transport, it is allowed to issue the certificate according to the form).
3. Validity of the certificate: the validity of the CoC certificate is 90 days, which is only valid for this batch of goods. Food, drugs and chemicals can only be used in the following ways: a).
4. Issuing time: 5-10 working days after receiving the application materials and test report, excluding the laboratory test time, which can be decided by the entrusted laboratory.
Method b) : product registration certificate
If the same product is exported to Kenya for many times, it is recommended to use b)
1. Test/application: the exporter applies to the PVoC registration, licensing/certification center to present our declaration that the products comply with the Kenyan standards/technical specifications or international standards, as well as the product test report issued by the laboratory accredited in accordance with the ISO/IEC standards, ISO9001 certificate and other technical support documents. PVoC registration, licensing/certification center reviews the documents submitted by exporters and will require rectification if any problems are found. Once the product meets the requirements, PVoC center will issue the product registration certificate.
2. Inspection and certification: at the time of shipment, the exporter should send the copy of product registration certificate, certification application form and goods to the PVoC office. The exporter also needs to provide the final shipment of the goods, and the PVoC office will issue CoC*** after reviewing various documents.
3. Validity of the certificate: the validity of the product registration certificate is 1 year, and the products shall meet the registration requirements continuously. If the product is modified, the modified product must also be modified with the product registration certificate.
Method c) : product form approval (for manufacturer only)
1. If the product quality is stable and meets the requirements for a long time after registration, you can apply for a license from PVoC registration, licensing/certification center. PVoC center will review the product test report and conduct supplementary tests if necessary. In addition, the factory's production facilities will be inspected. After the above steps, the manufacturer will obtain a license for this type of product. In the future, when the product is exported, the manufacturer only needs to provide the certification application form (RFC), copy of final commercial issuance and license, and PVoC office can issue ***, without every inspection and product test.
2. The PVoC office reserves the right to sample approved products for compliance inspection, but notifies the exporter in advance. If the product continues to meet the requirements, the license can be renewed annually and the factory's production facilities will be inspected during the renewal. If the product is modified, it must be re-registered.
